Headroom connects people in South Africa and abroad with verified practitioners for online therapy, counselling and coaching. They came to CodingCafe after more than two years of struggling with developers, and we took on the custom booking, subscription and review systems that the platform runs on.

About the Project
Headroom’s promise is direct: no subscription plans and no waiting lists, just easy matching and instant booking. Registered practitioners offer 60-minute sessions, and Headroom reports more than 17,000 consultations completed.
That promise only holds if the software does. A person who has finally decided to ask for help should not meet a confusing calendar, and a practitioner should not have to chase payments.
Challenge We Tackled
In founder Zuzana’s words, the team had been stalling on their wish list for fear of complexity, cost and risk. Beneath that sat a hard product problem, because the platform serves three groups at once:
- Clients comparing practitioners by need, budget, availability and time zone, often during a difficult moment.
- Practitioners who want their schedule, rates and listing plans handled without extra admin.
- Headroom’s own team, who run matching and support around all of it.
Our Approach
Rather than forcing this through off-the-shelf plugins, we built custom ones for booking, subscriptions and reviews on top of WordPress and WooCommerce.
A client picks a service, states their preferences, chooses a practitioner and a time from a live calendar, adds notes and pays securely. Times show in the visitor’s own time zone, which matters for clients abroad. Anyone unsure where to begin can book a short Guidance Session, and the team helps them find a match.
We also worked on speed, because a slow booking page is a poor first impression for someone already finding this hard.
